Responsibilities:
General Objectives
- Ensure that all employees under the Department have a clear and agreed set of realistic objectives.
- Ensure that all employees have in place a meaningful development plan to enable them to achieve their objectives and excel in their roles.
- Review working practices to ensure that resource allocations are continuously optimised and deliver continuous improvement.
Leasing – Retail and Commercial
- Oversee and lead the Leasing Department to ensure proper targets are being met and that all leasing workflow is being adhered to
- Formulate and conceptualize marketing and leasing strategies, rental reviews and tenant mix and accountable for all leasing matters of the retail and commercial spaces
- Monitor and guide the Leasing Department with proactive advice related to Tenant mix to be achieved in the retail component
- Negotiate deal structures for retail and Commercial components
- Prepare the yearly budgeted income for the Leasing Department and to ensure all rentals achieved are within or above the budgeted income.
- Identify new spaces in the mall to create more net lettable spaces.
- Actively source, identify and secure potential Tenants for retail and commercial lots with the Leasing Department and to actively liaise with real estate agents for the lease in Menara BRDB
- Liaise closely with Legal on tenancy terms and guidelines for execution of the tenancy agreement by the Tenants
- Responsible to negotiate the best terms in the Tenancy Agreement and is in accordance with the industry’s practice
- Identify proposed terms in the Tenancy Agreement by Tenants and to safeguard the rights of the Landlord at all times.
- Attend and resolve tenancy issues for the team wherever possible.
- Meet and negotiate with Anchor Tenants on renewal of tenancies.
- Ensure all letters to tenants are accurate and precise before issuing out to Tenant.
- Manage all tenancy information for accurate reference for various parties involved.
- Guide and manage all existing tenancies and also ensure tenancies up for renewal are promptly renewed with the best possible rental rate.
- Collect, collate analyse and present sometimes complex information in line with requirements, policies and procedures.
Advertising and Promotion (Retail)
- Direct, motivate and monitor the mobilization of the team to achieve campaign goals.
- Plan and execute advertising policies and strategies for the team to adhere to.
- Track program budgets and expenses and campaign responses to evaluate each campaign on program objectives and industry norms
- Ensure all advertising contracts signed safeguards the Landlords rights
- Monitor and analyse overall performance of events to determine cost effectiveness of promotion campaigns
- Market research trade journals and to stay informed on trends, innovations and changes that affect the media planning.
- Ensure the Department constantly creates a rapport with the tenant to assist in increasing brand awareness and/ or to promote products.
- Collect, collate analyse and present sometimes complex information in line with requirements, policies and procedures.
Centre Management (Retail and Commercial)
Tenant Relations
- Oversee and lead the Centre Management Department in coordination of Tenants daily business operations as well as create a relationship Management with the Tenants.
- Ensure Tenants comply with the House Rules and Regulations and to enforce obligations under the Tenancy Agreement.
- Resolve difficult tenants with operational issues via attending to their concerns and with the Tenant Relations team, coordinating with other relevant Departments to resolve operational issues.
- Ensure that all identified issues are addressed via email or correspondence letter to the tenant.
- Ensure circulars disseminated are of accurate information to the Tenants
- Manage complaints effectively from Tenants and Customers
- Constantly meet Tenants for concerns and creating tenant relationship.
- Liaise with the JMB / Building Management pertaining to Tenants complaints and operational issues
Debt Management (Retail and Commercial)
- Guide subordinates to ensure prompt and accurate rental collections or any other miscellaneous payments from tenants and monitor outstanding rentals for actions to be taken promptly
- Formulate strategies to increase efficiency for rental collection and reduce ageing
- Guide the Executive, Centre Management in rental collection and dealing with distressed Tenants.
- Monitor monthly rental and other charges collections.
Office Management
- Oversee the office management in the Management Office.
- Prepare the yearly office expenses budget, record office expenditure and manage the budget.
- Ensure the condition of the office is maintained properly and to ensure that all expenses inclusive of stationery and pantry expenses are kept within the yearly budget.
Facilities Management
- Oversee Opex of the Department is under budget
- Work with Department HOD to align procedures to ensure all back-end facilities are maintained including housekeeping and landscape.
Safety and Security
- Ensure SOP of Security measures are put in place.
- Liaison with local authorities for Mall and Office Building as well as local municipal.
Others
- Ensure monthly Divisional meeting reports are prepared timely and accurately
- Work closely with Finance on payments to suppliers/ vendors / contractors
- Liaise with Finance regarding queries by auditors and valuers on a yearly basis.
Requirements:
- Degree / Diploma in Property Management / Business Administration
- Minimum 10-15 years’ experience in a large or medium size shopping complex, commercial office building
- Experience runs mall independently and report to EXCO experience will be added advantage.
- Able to formulate effective marketing strategies to optimize rental income
- Have excellent interpersonal and communication skills
- A team player who is proactive and possess initiative to improve efficiency and able to lead and motivate people effectively
